Organizer Guide

Everything you need to run your event from start to finish.

1. Creating Your Event

Log in to your WaiverLite dashboard and click + New Event.

Fill in the Event Name, Start Date, and End Date. The event will automatically go live on the start date and stop accepting signatures after the end date.

Paste your Waiver Text into the text area. This is the legal text participants will read and agree to before signing.

Optionally upload a Logo or Banner image and set your Organization Name and Accent Color for branding. You can choose a file before saving — it will upload automatically when you save.

Click Save Draft. Your event is saved but not yet live.
Tip: Use the Preview button to see exactly what participants will see before you schedule the event.

2. Minor Participants (Optional)

If your event includes participants under 18, enable minor support in the event form.

Check Allow minor participants in the event form.

When this is enabled, the sign page will show a checkbox: "I am signing on behalf of a minor." When checked, the form asks for the minor's name, the guardian's name, and their relationship to the minor.

Each minor gets their own separate waiver record and signed PDF. A guardian signing for multiple children can use the Sign for another minor button after each submission — their guardian details stay pre-filled.
Important: Make sure your waiver text includes specific language covering minor participation and guardian signatures. A standard adult waiver may not be legally sufficient for minors. Consult your legal advisor.

3. Scheduling Your Event

From the event detail page, click Schedule Event.

You will be prompted to provide a payment method. You are not charged now — your card is only charged after the event closes, based on the number of participants.

Once scheduled, a QR code and sign link appear on the event detail page. Your event goes live automatically on the start date.
Download your QR code in PNG format to insert into Word, Canva, or any flyer tool. Use SVG for large-format printing (banners, posters) — it scales without pixelation.

4. Day of the Event

You have two day-of tools available if you enabled them in the event form: Kiosk Mode and Check-in. Both require the 4-digit PIN you set when creating the event.

Kiosk Mode

Kiosk mode turns any tablet or computer into a signing station. Instead of participants scanning a QR code on their own phone, they sign directly on a shared device.

Enter the 4-digit PIN when prompted. You will not be asked again on this device as long as the browser tab stays open.

After each participant signs, the screen displays a success message and automatically resets after 5 seconds (10 seconds if a minor was just signed). A Next Person button lets staff reset immediately.
Bookmark the kiosk URL immediately the first time you open it. If a participant accidentally navigates away from the page, you can return instantly using the bookmark without re-entering the URL. Do this before the event starts.
Tip: Press F11 to put the browser in full-screen mode. This hides the address bar and browser controls, giving participants a cleaner experience and making it harder to accidentally navigate away.
For minor signings in kiosk mode: After a minor is signed, a Sign Another Minor button appears alongside Next Person. Tapping it keeps the guardian's information pre-filled so a parent signing multiple children can do so quickly. If neither button is tapped within 10 seconds, the kiosk resets to adult mode.

5. Closing Your Event

When your event is over, open the event detail page and click Close Event.

Your card will be charged based on the final participant count (see pricing below).

You will receive an email with a download link for a ZIP file containing all signed PDFs. This link expires 7 days after the event closes — download your files promptly.

6. Check-in Page — Volunteer Guide

This section can be printed and handed to the volunteer running check-in.

The check-in page shows a live, searchable list of everyone who has signed the waiver. Use it to quickly confirm that a participant has signed before they proceed.

Getting Started

Open a browser on any phone, tablet, or computer and go to:
https://app.waiverlite.com/sign/[your-event-id]/checkin
Your event organizer will give you this URL.

Enter the 4-digit PIN provided by the event organizer. You will not be asked again as long as the browser tab stays open.

Looking Up a Participant

Type the first few letters of the participant's last name (or first name) in the search box. The list filters instantly.

If their name appears, they have signed. The time they signed is shown next to their name.

If their name does not appear, they have not yet signed. Direct them to the kiosk station or ask them to scan the QR code with their phone.

Tips

The list updates automatically every 5 seconds — you do not need to refresh the page.
Participants who signed for a minor will appear under the minor's name.
Do not close the browser tab. If you accidentally close it, simply re-open the check-in URL and re-enter the PIN.
